When to use it

  • Every taxable sale by a registered business: goods or services, to a registered or an unregistered buyer.
  • Goods: issue it before or at the time of removal of goods; services: within 30 days of supply (Section 31 and Rule 47).
  • Not for exempt or nil-rated supplies, or by a composition dealer: those use a bill of supply (Rule 49), which carries no tax.
  • Not for job-work dispatches or stock moved between your own godowns in one state: those use a delivery challan.

Common mistakes

  • Restarting numbers mid-year or reusing a number after cancelling: the series must be unique in the financial year, and a cancelled number is not reused.
  • Charging CGST + SGST on an inter-state sale (or IGST within the state). The place of supply decides, not the ship-to address.
  • Printing 4-digit HSN when your turnover is above ₹5 crore (6 digits needed), or leaving HSN out of B2C invoices above that turnover.
  • Mistyped buyer GSTIN: the buyer can't claim credit and your GSTR-1 won't match their 2B. Check it first.
  • Tax worked on the invoice total instead of line by line, so the figures don't match the returns by a few paise.
  • No reverse-charge line at all. Rule 46(p) needs the field even when the answer is No.

What a GST invoice is

A tax invoice is the document a registered supplier issues for a taxable supply. It is how tax is charged to the buyer, how the buyer claims input tax credit, and what your GSTR-1 is built from. Section 31 of the CGST Act says when it must be issued; Rule 46 of the CGST Rules lists what it must contain. Goods invoices are prepared in three copies: original for the recipient, duplicate for the transporter and triplicate for the supplier (Rule 48).

The parts of the format

  • Header: your name, address, GSTIN and state; the words “Tax invoice”; the invoice number, date, place of supply and reverse charge.
  • Parties: bill-to with name, address, GSTIN and state; ship-to only when the goods go elsewhere.
  • Items table: description, HSN/SAC, quantity with unit, rate, taxable value, GST rate and amount per line.
  • Totals: taxable value, CGST, SGST/UTGST or IGST, cess, round-off and the total, with the total in words.
  • Signature: for your business, by an authorised signatory. Bank details and terms are optional extras.

If you need e-invoices

Where e-invoicing applies to your business (aggregate turnover above ₹5 crore in any year since 2017-18), each B2B invoice is reported to the IRP and printed with its IRN and signed QR code. The format stays the same; the IRN, acknowledgement number and QR are added. A printed format alone is not an e-invoice.

Using the CSV in Excel

The CSV opens in Excel, Google Sheets or LibreOffice: header fields first, then the items table. Keep one row per item and work tax per line.

FAQ

Questions about the GST invoice format

Not answered here? Visit the help centre.

What is the format of a GST invoice?

It carries the supplier's and recipient's details, a unique invoice number and date, the place of supply, HSN, description, quantity, value, taxable value, tax rate and amount for each tax, reverse charge and a signature, as listed in Rule 46. The table above gives every field with its clause.

Is the invoice number format fixed?

No fixed pattern, but it must be consecutive, up to 16 characters using letters, digits, hyphen and slash, and unique for the financial year. Many businesses use INV/26-27/0001.

How many copies of a GST invoice are needed?

For goods, three: original for the recipient, duplicate for the transporter and triplicate for the supplier. For services, two: original and duplicate (Rule 48).

Is a signature mandatory on a GST invoice?

Yes for a paper invoice: the supplier or an authorised representative signs it. An electronic invoice issued under the IT Act does not need a signature or digital signature.

Can I make a GST invoice in Excel?

Yes. Download the CSV, fill it in Excel and print. Check that tax is worked per line and the number series is not repeated. The free invoice generator does the maths for you.
